Dentello Ltd ("Dentello", "we", "us") is the data controller for the personal data of the dentists and dental professionals we work with. This notice applies whether you enquire about working with us, are sourced through our network, are assessed for a role, or are placed and supported at a practice.
It explains what we collect, why, the lawful bases we rely on, who we share it with, how long we keep it, and the rights available to you.
Depending on how far you progress with us, we may collect: identity and contact details (name, date of birth, address, email, phone); nationality and immigration status; right to work and identity documents (passport, visa, BRP, share code); professional and regulatory information (GDC registration, qualifications, CV, training and experience, NHS performer or list number details); references; and, where we arrange payment, bank and payroll details.
Where the law requires it for a role, we may also process background-check information such as DBS results. We collect only what is necessary for sourcing, placement, activation and compliance.
Some of the information we handle is "special category" data (for example health information relevant to occupational fitness) or criminal-offence data (for example DBS checks). We process this only where a lawful condition applies, such as employment, social protection, safeguarding, or your explicit consent, and with additional safeguards.
Most data comes directly from you. We may also receive data from referees who support your application, regulatory and official bodies (such as the GDC, NHS bodies and the Home Office), and background-check and identity-verification providers acting on our behalf.
We use your data to source and match you to roles, assess suitability, coordinate registration, visa, sponsorship and NHS processes, arrange placement and onboarding, support you while placed, and meet our legal and regulatory duties.
Our lawful bases under UK GDPR are: steps taken at your request prior to entering a contract, and performance of that contract; our legitimate interests in operating and developing our workforce network, balanced against your rights; compliance with legal obligations, such as right-to-work and sponsor-licence duties; and consent, where we ask for it. For special category and criminal-offence data, we rely on the additional conditions in Article 9 and Schedule 1 of the Data Protection Act 2018.
We share your data only where necessary: with practices and dental groups considering or hosting your placement; with regulatory and official bodies where a process requires it (the GDC, NHS bodies, the Home Office and UKVI); with authorised immigration advisers where regulated advice is needed; and with trusted providers (such as background-check and IT providers) who process data on our instructions under contract. We never sell your data.
Because we support dentists relocating to the UK, some of your data may be transferred from outside the UK. Where data is transferred internationally we put appropriate safeguards in place as required by UK data protection law. Details of the specific safeguards are available on request and are to be confirmed until published in full.
We keep your data only as long as necessary for the purposes in this notice, including legal, regulatory and contractual requirements (for example sponsor-licence record-keeping duties). When it is no longer needed it is securely deleted or anonymised. Specific retention periods by data type are to be confirmed until published in full.
Under UK GDPR you have the right to access your data, correct inaccurate data, request erasure in certain circumstances, restrict or object to processing, request portability, and withdraw consent where processing is based on consent. We respond to valid requests without undue delay and within one month, extendable by up to two further months for complex requests. You can also complain to the Information Commissioner's Office (ICO), though we would welcome the chance to resolve any concern first.
We use appropriate technical and organisational measures to protect your data, and access is limited to those who need it. We may update this notice from time to time; the date above shows when it was last updated, and material changes will be reflected here.
