Dentello Ltd ("Dentello", "we", "us") is committed to protecting the personal data of everyone who uses our website, enquires about our services, or is placed or hosted through our workforce platform. We are the data controller for the personal data described in this policy.

This policy sets out what we collect, why, how long we keep it, who we share it with, and the rights available to you. If anything here is unclear, please contact us using the details below.

1. The data we collect

We collect information you provide directly, such as your name, contact details and the content of an enquiry submitted through our website or by email. For dentists working with us, this can include professional and regulatory information such as qualifications, GDC registration status, NHS performer or list number details, and, where relevant, immigration and right to work documentation. For practices, we collect business contact and workforce information needed to provide the service.

Where necessary to provide the service, we may also receive personal data about a dentist from sources other than the individual, such as regulatory or official bodies and referees who support an application. The categories of any such data, and its source, are shown as [X] until published in full.

We also collect limited technical data automatically when you use our website, such as your device and browser information and how you interact with the site. This is covered further in our Cookie Policy.

2. How we use your data and our lawful bases

We use personal data to respond to enquiries, to source, place and support dentists, to coordinate registration, visa and NHS processes on behalf of dentists and practices, and to operate and improve our service.

Our lawful bases under UK GDPR include: consent, where you have given it; performance of a contract, where we are providing services to you; our legitimate interests in running and developing the platform, balanced against your rights; and compliance with a legal obligation, for example right to work and sponsorship duties.

3. Who we share data with

We share personal data only where necessary to deliver the service. This can include practices and dental groups hosting a placement, regulatory and official bodies such as the GDC, NHS bodies and the Home Office where a process requires it, and trusted service providers who process data on our behalf under contract.

We do not sell personal data. Where a third party processes data for us, they act on our instructions and are bound to keep it secure.

4. International transfers

Because we support dentists relocating to the UK, some information may be transferred from outside the UK. Where personal data is transferred internationally, we put appropriate safeguards in place as required by UK data protection law. 5. How long we keep data

We keep personal data only for as long as necessary for the purposes set out in this policy, including to meet legal, regulatory and contractual requirements. When data is no longer needed, it is securely deleted or anonymised. Specific retention periods by data type are shown as [X] until published in full.

6. Your rights

Under UK GDPR you have the right to access your personal data, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to processing, to data portability, and to withdraw consent where processing is based on consent.

We will respond to a valid request without undue delay and within one month of receiving it. Where a request is complex or you have made a number of requests, we may extend this by up to two further months, and we will let you know if we need to.

You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK supervisory authority, although we would welcome the chance to resolve any concern first. To exercise any right, contact us using the details below.

7. How we protect your data

We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. Access to personal data is limited to those who need it to deliver the service.

8. Automated decision-making

We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing. If this ever changes, we will update this policy to explain the processing, the safeguards in place, and your right to request human intervention.

We may update this policy from time to time. The date above shows when it was last updated, and material changes will be reflected here.
